This Privacy Policy explains what personal information Card Fulfillment System (operated by HO KINH DOANH FULFILL DUC HA) collects, how we use it, and the choices you have. We aim to handle your data the way we would want ours handled — with restraint, transparency, and reasonable security.

01 Information We Collect

Account information

When you register, we collect your name, email address, and business name (optional).

Order data

For each order, we collect the design files you upload, the recipient's shipping address, item selection, quantity, and any order notes you choose to include.

Payment information

We use a wallet-based system. Wallet top-ups are currently processed via bank transfer; we may add additional payment methods over time. We receive only the transaction reference and amount needed to credit your wallet. We do not store full card numbers or CVV codes.

Technical data & cookies

We collect log data (IP address, browser type, pages visited, timestamps) and use a single first-party cookie to keep you signed in. See section 6 for details.

02 How We Use Information

We use the information described above to:

  • Operate the Service: produce, package, and ship orders.
  • Process payments and apply cashback credit.
  • Provide customer support and respond to your requests.
  • Detect, investigate, and prevent fraud or abuse.
  • Comply with tax, accounting, and other legal obligations.
  • Improve the Service through aggregate, de-identified analytics.

We do not sell personal data, and we do not use your data to train third-party machine-learning models.

03 Information Sharing

We share data only with service providers who help us deliver the Service, and only to the extent needed:

  • Shipping carriers receive recipient names, addresses, and order details to deliver shipments.
  • Payment providers (such as the bank handling wallet top-ups) receive transaction details needed to credit your wallet.
  • Hosting providers host the platform and process operational data on our behalf.

We may also disclose data when required by law, in response to valid legal process, or to protect the rights and safety of our users and team.

We do not sell your personal data and we do not share it with advertisers or data brokers.

04 Data Retention

We retain your data only as long as needed to operate the Service and to meet our legal and accounting obligations:

  • Account information is retained while your account is active and for a period afterward as required by applicable law.
  • Order records (including invoices and payment references) are retained for the period required by applicable commercial and tax law.
  • Uploaded design files are retained while linked to active SKUs and for a limited period after the last order using them, after which they are deleted from primary storage.

05 Your Rights

You may ask us to:

  • Access — provide a copy of the personal data we hold about you.
  • Correct — fix inaccurate or incomplete information.
  • Delete — remove personal data, subject to legal retention obligations (for example, accounting records we are required to keep).

To make a request, email us at cardfulfill@gmail.com. We will respond within a reasonable timeframe and will not retaliate against requests.

06 Cookies & Tracking

We use a single first-party session cookie to keep you signed in. The cookie is HttpOnly (not readable by JavaScript) and SameSite=Lax (not sent on cross-site requests).

We do not currently use third-party analytics, advertising, or cross-site tracking cookies. If we add analytics in the future, we will update this Policy.

You can clear cookies in your browser at any time. Doing so will sign you out of the dashboard.

07 Data Security

We use industry-standard administrative, technical, and physical safeguards to protect your data, including TLS in transit, password hashing, role-based internal access, and audit logging. No system is perfectly secure; if we become aware of a security incident materially affecting your data, we will notify you in line with applicable law.

08 Children's Privacy

The Service is intended for businesses and adults. We do not knowingly accept registrations from anyone under 18. If we learn that we have collected data from a person under 18, we will delete it promptly. Contact us if you believe a minor has registered.

09 Where Your Data Is Stored

We host the Service with third-party cloud and hosting providers. The servers handling your data may be located outside Vietnam. By using the Service, you understand and accept that your data may be processed and stored on overseas servers operated by these providers.

10 Changes to Policy

We may update this Privacy Policy as the Service evolves or as legal requirements change. Material changes will be announced in advance through the dashboard or by email. The “Last updated” date at the top of this page always reflects the current version.
